This position is client facing and serves as a critical piece in communicating with various clients and keeping the attorney informed of all client interactions and questions. The person hired for this position will work closely with attorneys and other staff members to complete the following tasks or responsibilities:

  • Open files and perform conflict checks;
  • Schedule and calendar meetings between clients, attorneys and/or other third-parties as instructed;
  • Draft, modify, review, revise, edit, and proofread file correspondence, documents, and agreements;
  • Assist attorneys with calendaring and scheduling due diligence on commercial and real estate transactions;
  • Prepare execution copies of documents for clients and coordinate obtaining signatures from clients;
  • Attend client meetings to assist the attorney in the collection of necessary information;
  • Review, revise, edit, and proofread documents, contracts, and agreements to ensure consistency, correct formatting, and defined terms are used properly;
  • Maintain corporate records and manage document databases;
  • Manage and maintain client relationships and communications with clients;
  • Assist in creating and forming corporate entities;
  • Interacting with the Secretary of State for business records and corporate formations;
  • Interacting and filing / recording necessary documents with judges of probate around the state;
  • Keeping track through billing time for tasks and items worked on;
  • Assist with applying and proofing billable hours and accounts receivable for assigned attorneys;
  • Assist clients with general questions pertaining to their services and billing;
  • General understanding of Federal & Alabama Rules of Civil Procedure;
  • Assist attorneys with managing work flow;
  • Organize and maintain multiple files;
  • Profile and file digital and paper copies of documents on a regular basis to ensure the file is up-to-date;
  • Perform any task or project as may be assigned by the supervising attorney; and
  • Additional duties as assigned.

Requirements

    Minimum Qualifications

  • A Bachelor’s degree in a related field; a high school diploma and paralegal certificate will be considered with additional experience of 3 years; or in lieu of a bachelor’s degree or paralegal certificate, a high school diploma with a minimum of seven (7) years related work experience will be considered.
  • Minimum of three (3) years of paralegal experience is mandatory;
  • Experience in working with Microsoft Office suite (especially Word, Excel, Outlook, Power Point, and others);
  • Preferred experience using a Software Management Systems for all case related information, specifically Clio and Qualia);
  • Excellent oral and written communication skills;
  • Must be self-motivated, well-organized, detail-oriented, disciplined, and maintain a strong work ethic;
  • Ability to work well both independently and as part of a team;
  • Ability to manage workflow and work under tight deadlines and other time constraints, with competing and shifting priorities;
  • Must be flexible to adapt to certain requested tasks and have strong ability to prioritize based on immediate needs;
  • Must be willing to assist other attorneys and other staff members as needed or requested to achieve or accomplish projects as may be requested;
  • Proficient to expert use of a computer or laptop;
  • Lifting boxes and other items up to 30lbs. may be required;
  • Strong project management and organizational skills; and
  • Strong analytical skills, technical aptitude, critical thinking, analytical and customer service skills.
